Manage leads: search, filter, and organize

Answer: Every lead lives in one searchable list. You can create or edit leads, search them, filter by status, source, tags, or score, run bulk actions like status changes, and save your favorite searches.

Every lead in one list — how to create and edit leads, search them, filter by status/source/tags/score, run bulk actions, and save your favorite searches.

The Leads view is the hub of LeadFlow. Every lead you create, discover, import, or capture from your website lands here as a single row, and everything downstream — scoring, pipeline, tasks, quotes, sequences — is driven by these records.

Create a lead

  1. 1Open the Leads view and click New lead.
  2. 2Fill in the name and at least an email or phone number — the email powers verification, deduplication, and email sequences.
  3. 3Optionally set the status, source, owner, and tags in the same form.
  4. 4Save. The lead appears immediately and is scored automatically based on your scoring rules.
Pro tip: Duplicate emails aren't allowed — if you create or import a lead whose email already exists, LeadFlow will merge or skip it depending on the context. Merge duplicate records from the lead list when the drawer shows a duplicate warning.

Search and filter the list

The toolbar above the table gives you several ways to narrow down exactly which leads you're looking at:

  • Search box (shortcut Ctrl/⌘ + K): matches name, company, email, and tags as you type.
  • Status filter: narrow to New, Contacted, Qualified, Proposal, Won, or Lost.
  • Source filter: show only leads from a specific channel (web, referral, discovery, and so on).
  • Advanced filters: a popover for tags, a score range, and a created-between date range — combine them freely.
  • Active filter badges: appear above the table so you can see what's applied and clear each filter with one click.

Work with one lead

Click any row to open the lead detail drawer with tabs for Overview, Timeline, Messages, Tasks, and Quotes. The row actions let you act without opening the drawer:

  • Email — compose and send a message to the lead's email address.
  • WhatsApp / SMS — send a message to their phone number.
  • Quote — jump straight into building a quote for this lead.
  • Delete — remove the record permanently (it will ask for confirmation).

Bulk actions for many leads at once

  1. 1Select one or more leads using the checkboxes on the left of each row.
  2. 2A bulk action bar appears showing how many are selected.
  3. 3Choose an action: change status, change source, update score, or delete.
  4. 4Confirm — the change applies to every selected lead in one request.

Save a search for later

When you've built a filter combination you'll reuse (for example, Qualified leads in the last 7 days), click Save search and give it a name. You can reapply saved searches later with one click instead of rebuilding the filters.
